Brand Activation Case Study

When most people walk through a major sporting event, they see the lights, the crowds, the brand activations, and the finished experience.

What they don’t see is everything that happens before the first guest ever walks through the doors.

This Brand Activation Case Study takes you behind the scenes of the 2026 College Football Playoff, where our team was entrusted with bringing one of the event’s largest fan experiences to life—a multi-day interactive trophy activation spanning nine separate photo stations throughout the Miami Beach Convention Center.

It would become one of the most technically demanding experiential marketing activations Bela Foto has executed to date, requiring months of planning, advanced logistics, AI-powered photo technology, and flawless execution to deliver an unforgettable experience for both the client and thousands of attendees.

The Challenge, and How the College Football Playoff Brand Activation Came Together

The vision was ambitious.

Create a Wynwood Walls-inspired Trophy Walk, where guests could explore each championship trophy installation, take professional photos, and receive them almost instantly on their phones.

Simple for the attendee.

Extremely complex behind the scenes.

Each of the nine trophy stations featured unique sponsor branding, dedicated photography equipment, and a seamless digital photo delivery experience.

Thousands of fans would move through the activation over three days.

The experience couldn’t slow down.

It couldn’t fail.

And there was no opportunity for “we’ll fix it later.”

Everything had to work in real time.

Planning Before a Single Camera Was Turned On

Large-scale activations are won during planning—not during the event.

Weeks before the first guest arrived, our team worked through equipment logistics, station layouts, workflow planning, internet connectivity, camera placement, power requirements, and attendee flow.

By the time load-in began, every camera, every workstation, every cable, and every delivery workflow had already been planned.

More than $50,000 worth of professional photography equipment had to be transported into the Miami Beach Convention Center using rolling carts and production dollies.

The majority of the installation took place the day before opening, requiring approximately five hours of setup, testing, calibration, and redundancy checks before guests ever entered the venue.

Nine Cameras. One Unified Experience.

At the heart of the activation was our AI-powered Instant Galleries platform.

Each of the nine trophy stations operated simultaneously while feeding into a streamlined delivery workflow.

Guests simply scanned a QR code, uploaded a selfie—or took one on the spot—and our facial recognition technology automatically matched their event photos in seconds.

No waiting.

No searching through thousands of images.

No emailing photographers after the event.

Just an effortless experience that felt almost invisible.

Exactly how great event technology should feel.

Solving a Problem the Client Had Experienced Before

One piece of feedback from the client stood out.

During a previous event, the photo workflow relied heavily on manually removing SD cards, transferring images to computers, organizing files, and uploading galleries throughout the day.

While the final photos looked great, the process behind the scenes was slow, labor-intensive, and difficult to scale.

Our objective wasn’t simply to photograph the activation.

It was to eliminate those operational bottlenecks.

By automating image delivery through our technology, we removed manual file handling almost entirely, dramatically reducing delays while giving guests access to their photos in near real time. Less cables running through the activations.

For event organizers, this meant fewer moving pieces to manage.

For attendees, it created an experience that felt instant.

The Results

Over the course of three days, Bela Foto captured more than 15,000 professional photographs across the nine activation stations for the College Football Playoff Brand Activation.

Thousands of guests successfully accessed and downloaded their images during the event.

Most importantly, our infrastructure handled the volume without interruption, demonstrating that large-scale instant photo delivery can be reliable when it’s built with the right systems from the beginning.

More Than One Activation

The Trophy Walk wasn’t the only experience our team supported during College Football Playoff weekend.

Bela Foto also deployed two additional experiential marketing activations throughout Miami Beach.

Pikfoto EXP

Guests stepped into our premium Pikfoto EXP mirrorless photo experience featuring AI-generated themed backgrounds inspired by the various College Football Playoff festivities taking place across the city.

The activation combined studio-quality photography with branded digital delivery, creating an engaging experience that guests wanted to share.

AT&T Playoff Playlist Live!

Our team also operated a roaming AI-powered photo activation throughout the concert experience, bringing instant photography directly into the crowd while maintaining the same seamless delivery workflow guests experienced inside the convention center.

Lessons for Event Planners

Technology should never become another thing your event team has to manage.

The best activations don’t just create memorable guest experiences, they simplify operations behind the scenes.

When evaluating photography partners, don’t just ask what cameras they use.

Ask:

  • How will guests receive their photos?
  • Can the system scale to thousands of attendees?
  • What happens if internet connectivity changes?
  • Is there redundancy built into the workflow?
  • How much manual work is required from your team?

These are the questions that often determine whether an activation becomes a highlight of the event, or a logistical headache.
